    ESSYI Travel Form 2023

    The purpose of this form is to gather as much information as possible regarding travel to and from the Environmental Studies Summer Youth Institute at Hobart and William Smith Colleges.

    We recognize that your travel plans may change after you have submitted the form, in which case we will need to be updated. Please contact the ESSYI office,     essyi@hws.edu, with any new information as it arises.

    Please be sure to read everything below and carefully make your travel plans with your parents/guardians/sponsors.

    Who should we contact if there’s an issue during your travel to ESSYI? Please provide their relationship to you, and the contact phone number where they can be reached during your travel or in the case of an emergency.
    If your emergency contact will be traveling at all during the program, please forward additional information, including a detailed itinerary for their travel, to essyi@hws.edu. If plans change, please be certain to let our office know.
    TRAVEL INFORMATION

    We are happy to coordinate pick up/drop off at the Geneva bus station which is within a mile of the HWS campus.

    ARRIVAL INFORMATION
    We strongly encourage students to arrive as early as possible on the first day (so they do not miss registration in the morning) and depart at 12 noon on the last day (in order to allow for full participation in the program). 

    Note: Students are not the responsibility of ESSYI until they arrive on the HWS campus or are picked up by a staff member at an airport or bus station.

    Registration is from 11:30 a.m. to 1:30 p.m. on Sunday, July 9th. The program officially begins with an introduction from the Summer Director at 2 p.m.​ Students who will be driving to campus with their families should be sure to arrive during the registration time.

    For those of you flying into the area, we will be sending shuttles to both of the regional airports that morning, so flying in any time before noon is fine. The two regional airports are Rochester (ROC) and Syracuse (SYR). We will also send shuttles to the Syracuse Amtrak train station, if necessary. The airport/train shuttle cost is $50 each way and payment can be made the same way at student tuition. 

    We are able pick up students at the Geneva bus station, free of charge.

    If you are arriving in Syracuse or Rochester the day before, on Saturday, July 9th, and you have to stay overnight, we strongly recommend that you stay at an airport hotel:
    DEPARTURE INFORMATION

    The last session on Saturday, July 22nd will finish at 11:30 a.m. While we recognize that this time may create travel challenges for some students, the final morning is an essential part of the program and students often find the last few sessions to be highly personal and very meaningful. Students will be ready to leave campus by noon. Families picking up students from campus should plan to arrive no later than 12pm.

    There will be two sets of shuttles to the Rochester and Syracuse airports (most likely one that departs campus at noon and another that will leave around 3 p.m.). Everyone should make flight arrangements that depart no earlier than 3pm. If your flights are not leaving until the next day, and you need to stay in one of the hotels listed above, we will have the 3pm shuttle drop you at your hotel (most likely around 4pm).

    Please note, once ESSYI drops off a student to a hotel desk, a bus or train station, or the security line at an airport, ESSYI staff are no longer responsible for them. Please plan accordingly.
